Terms of Service

BookTheBot ("BookTheBot", "we", "us", "our") is a humanoid robot rental service operated by Xponent21, LLC, a Virginia limited liability company based in Richmond, Virginia. These Terms of Service ("Terms") govern your access to and use of the BookTheBot website, the founding reservation program, and any rental services we provide.

By using the site, creating an account, submitting a reservation, or paying a deposit, you agree to these Terms. If you do not agree, do not use the site.

You may use the site for its intended purpose: learning about the service, creating an account, submitting a reservation, and managing your reservation and any affiliate participation. You are responsible for the accuracy of the information you provide, including business name, contact details, and use-case description.

Some features require an account. You are responsible for maintaining the security of your account credentials and for all activity under your account. Notify us promptly if you believe your account has been accessed without your permission.

The founding reservation program is limited to fifteen (15) slots. A refundable deposit of one hundred U.S. dollars ($100) per reservation is collected via Stripe at the time you submit your reservation.

Deposit terms:

• Threshold not met by deadline. If the program does not reach fifteen (15) confirmed founding reservations by the campaign deadline published on the site, every deposit will be refunded in full to the original payment method.
• Threshold met. If the program reaches its threshold, your deposit converts to a credit toward the rental package you book with us at the founding rates in effect at the time you paid your deposit.
• Withdrawal. You may withdraw your reservation and receive a refund at any time before the campaign deadline by contacting us. Once the threshold is met and a rental has been booked and scheduled, the deposit is subject to the cancellation terms in Section 5.
• No interest. Deposits do not earn interest while held.

Rentals are governed by the founding rate card published on the site and locked in at the time of your deposit, which currently includes: two-hour appearance ($1,100), half day ($1,700), full day ($2,750), multi-day ($2,200 per day for two or more consecutive days), and venue residency (from $3,000 per month). Optional add-ons — branded wrap, content capture, custom AI personality, and swag distribution — are priced separately. Every rental includes a trained operator.

Specific dates, delivery, on-site requirements, cancellation windows, and any travel and lodging costs will be documented in a separate rental agreement or statement of work for each booking. In the event of a conflict between that document and these Terms, the rental agreement controls for that booking.

Payments and deposits are processed by Stripe, Inc. We do not receive, store, or process your full payment card details. Your use of Stripe is subject to Stripe's own terms and privacy policy.

If you participate in the referral program, referral credits and any bounty amounts accrue only when a referred reservation completes a valid deposit and is not withdrawn or refunded. We may adjust affiliate balances to correct duplicates, refunded reservations, or activity that appears to violate these Terms.

You agree not to:

• submit false, misleading, or fraudulent information;
• create multiple accounts or reservations to circumvent limits or manipulate the referral program;
• attempt to access, probe, or scan our systems in a way that exceeds normal use of the site;
• use the site or the service to harass, defame, or infringe the rights of others;
• use the service or the robot for unlawful, unsafe, or hazardous activities.

The BookTheBot name, marks, website content, and design are owned by Xponent21, LLC or its licensors. You may not copy, modify, or redistribute site content without our written permission, except for personal, non-commercial reference.

The site and the service are provided on an "as is" and "as available" basis. To the fullest extent permitted by law, we disclaim all warranties, whether express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the site will be uninterrupted, error-free, or free of harmful components.

To the fullest extent permitted by applicable law, in no event will BookTheBot, Xponent21, LLC, or their respective officers, employees, or agents be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, revenues, data, or goodwill, arising out of or related to your use of the site or the service. Our aggregate liability for any claim arising out of or related to the site, the founding reservation program, or a rental is limited to the greater of (a) the amount you paid to us in the twelve (12) months preceding the claim, or (b) one hundred U.S. dollars ($100).

You agree to indemnify and hold harmless BookTheBot, Xponent21, LLC, and their respective officers, employees, and agents from any claims, damages, liabilities, costs, and expenses (including reasonable attorneys' fees) arising out of your use of the site or the service, your violation of these Terms, or your violation of any rights of a third party.

These Terms are governed by the laws of the Commonwealth of Virginia, without regard to its conflict-of-law rules. The exclusive venue for any dispute arising out of or related to these Terms or the service is the state or federal courts located in Richmond, Virginia, and you consent to the personal jurisdiction of those courts.

We may update these Terms from time to time. The updated version will be indicated by a new effective date at the top of this page. Material changes will be communicated by email or through the site. Your continued use of the site after an update constitutes acceptance of the updated Terms.
